What Is Process Documentation?

Process documentation provides all the details needed to carry out the business activities in a function. It includes documents such as tutorials, process maps, policies, screenshots, etc. It helps employees at all levels understand company processes.

How to Document a Process?

  • Identify the processes you need to document and determine its purpose and scope. Provide a description of these elements.
  • Use a flowchart to identify the process boundaries. Share it with process owners with the help of Creately’s real-time collaboration features to get their input as well.
  • Using a mind map, brainstorm with a team of experts on the process to gather necessary information such as process steps, inputs, and outputs.
  • Take the list of process steps you’ve identified, and arrange them in a sequential order to create a process flow. Keep the number of steps to a minimum.
  • Decide the individuals who will be responsible for carrying out each process task. Mention their title rather than their name.
  • Using a process flowchart, visualize the steps you’ve identified earlier. Using swimlanes, add responsible process departments or owners as well.
  • Gather those who are involved in the process to review the process flowchart for errors and test it for effectiveness.
  • Embed the various diagrams created in your intranet or other internal websites or share it with your team so they can easily access the necessary documents.
